Artwork Guidelines
Getting your artwork right from the start means faster turnaround, sharper results, and zero delays.
If you’re unsure about anything, don’t panic - we check every file before production and will flag any issues.
Should your artwork not be in a suitable format for customisation, we can convert and re-draw your file to a suitable type for a fee of £25 + VAT - don't worry, we'll always notify and ask for confirmation prior to doing this.
This guide simply helps you get it right first time.
Preferred File Formats
For the best possible print or embroidery result, please supply vector files wherever possible.
Accepted vector formats (preferred):
- .AI (Adobe Illustrator)
- .EPS
- .PDF (vector format)
- .SVG
Preferred image formats:
- PNG
Vector artwork allows us to scale your design to any size without loss of quality.
High resolution JPG, BMP, TIF, EPS, AI
All files types are accepted as long as the resolution is high quality. For all first time customers there is a £9.95 fee for logos or graphics to be converted into a embroidery format (digitising), this is a one off fee and your embroidered artwork will be held on file for future orders.
Embroidery text has a £5 set up fee.
Embedding fonts and converting fonts to paths (or curves)
If your logo uses fonts, convert them to paths or curves so they become graphic objects. Otherwise, if we don't have the font, we can't match your artwork when we receive the file.
Adobe PDF files
Create PDFs from vector files so they remain editable.
Do not save a bitmap as a PDF - this results in an unusable file and may incur a redraw fee.
Small Detail & Line Thickness
This is where most issues occur.
Minimum guidelines:
- Print: lines no thinner than 0.5pt
- Embroidery: text no smaller than 5–6mm height
- Avoid fine detail in small logos
Very small detail may fill in, distort, or disappear entirely once stitched or printed onto fabric.
Embroidery Threads & Colour Matching
Embroidery works differently to print. We’re not mixing ink - we’re stitching with physical thread. That means colour is selected from a professional thread chart, not blended digitally.
How thread colour works
- We match your artwork to the closest available thread shade
- If you provide a Pantone reference, we’ll use this to guide our match
- Exact Pantone-to-thread matches aren’t always possible, but we’ll get as close as physically achievable
Thread has texture, sheen and depth, so it can look slightly different under various lighting conditions compared to a flat digital design.
Important things to know
- Very subtle colour variations may not translate perfectly into stitch
- Gradients, shadows and fades usually need simplifying
- Small tonal differences can disappear once stitched
If your brand has strict guidelines (franchise groups, national organisations, regulated industries), let us know at order stage so we can advise accordingly.
Thread limitations
Unlike print, embroidery:
- Cannot reproduce photographic detail
- Doesn’t support smooth fades
- Requires solid, defined shapes
If we need to adjust your artwork to ensure it stitches cleanly, we’ll advise before production.
What We Can't Accept
- Screenshots from WhatsApp, Facebook, Instagram
- Logos copied from Google images
- Low-resolution JPEGs pulled from websites
- Copyrighted artwork you don’t have permission to use

Artwork Approval
Once you have submitted your artwork, we will provide an artwork proof for you to check, in order to make sure your artwork is correct.
Please check:
- Spelling
- Colours
- Position
- Sizing
Approval confirms you’re happy for us to proceed. Production times begin after approval.
We won't begin production of your order until you have approved the artwork.
